1. Who we are

The Reset Room is a private performance coaching service operated by Kurt Micallef, based in Dubai, UAE. Our website is theresetroom.global. For any privacy-related questions, data requests, or concerns, contact us at hello@theresetroom.global.

We take your privacy seriously. This policy explains what personal data we collect, why we collect it, how it is stored and used, who we share it with, and what rights you have. Please read it before submitting any information to us.

2. What data we collect and why

Contact enquiries

When you submit a private enquiry via the contact form on /contact, we collect your name or alias (optional), email address, and the message you write. You are also asked to tick a consent checkbox confirming you agree to us storing your message in order to respond to it. We use this data solely to reply to your enquiry. The legal basis for processing is your explicit consent, given at the point of submission.

Founding waitlist registration

When you register for founding access via the /for-men page, we collect your email address and your optional interest selections (the program areas you want to hear about). We use this data to contact you when the programs you selected are ready to launch, before they are made available to the public. By submitting this form, you are giving us permission to contact you for this purpose only.

Newsletter subscriptions (The Brief)

When you subscribe to The Brief newsletter via the newsletter strip on the website, we collect your email address. We use this solely to send you occasional performance-focused content. You can unsubscribe at any time by emailing hello@theresetroom.global with the subject line “Unsubscribe”, and your address will be removed promptly.

Session bookings

When you book a coaching session, the booking process is managed by Cal.com (European region — cal.eu). Cal.com collects your name or alias, email address, and the details of the session you have selected. Payment is processed by PayPal, which collects the billing information necessary to complete the transaction. We do not store, receive, or have access to your payment card details. Please refer to Cal.com’s privacy policy and PayPal’s privacy policy for full details.

WhatsApp enquiries

If you contact us via the WhatsApp button on the website, your message and phone number will be received through WhatsApp, which is operated by Meta Platforms, Inc. We use this data only to respond to your enquiry. We do not store WhatsApp conversations in our database. Please refer to Meta’s privacy policy for details on how WhatsApp handles your data.

What we do not collect

We do not collect your IP address for storage or profiling purposes. We do not use tracking pixels, advertising networks, or behavioural analytics tools. We do not collect data about how you navigate the site beyond what is technically necessary to serve the pages.

3. How your data is stored

Contact messages, waitlist entries, and newsletter subscriber emails are stored in a secure database provided by Supabase, hosted in the European Union (Frankfurt, Germany — eu-central-1 region). Row-level security is enabled on all data tables, meaning data is inaccessible without authenticated credentials. Access is restricted to the service owner using a server-side API key that is never exposed to the browser or to third parties.

Session calls are not recorded. We do not store audio, video, or transcripts of any coaching session unless you have explicitly agreed in writing before the session takes place.

Please do not submit sensitive personal documents (such as medical records, identification documents, or financial statements) through any website form. Our forms are designed for enquiries and contact, not for the secure transmission of sensitive documents.

4. Third-party services we use

We use the following third-party services to operate this website and deliver our coaching service:

Supabase

Secure database storage, hosted in EU Frankfurt. Stores contact messages, waitlist entries, and newsletter subscriber emails.

Resend

Transactional email delivery. Used to notify us when a form is submitted. Does not send marketing emails.

Cal.com (European region)

Booking and scheduling. Manages session appointments, availability, and sends booking confirmation emails.

PayPal

Payment processing. Handles all transactions. We do not receive or store your payment card details.

WhatsApp (Meta Platforms)

Optional contact channel. Only engaged if you choose to use the WhatsApp button.

Google Meet / Zoom / similar

Video and audio call platform used to conduct sessions. Confirmed in your booking email. Subject to the platform's own terms and privacy policy.

Each of these services has its own privacy policy and data practices. We encourage you to review them if you have concerns about how a specific service handles data.

5. How we use your data

We use your personal data only for the purpose it was collected. Specifically:

  • Contact form submissions — to respond to your enquiry by email.
  • Waitlist registrations — to notify you when the programs you selected become available.
  • Newsletter subscriptions — to send occasional performance content via The Brief.
  • Booking data — to confirm your session and provide your private call link.

We do not sell, rent, trade, or share your personal data with any third party for marketing, advertising, or commercial purposes. We do not use your data for automated decision-making or profiling. We do not send unsolicited marketing emails.

6. Data retention

Contact messages are retained for up to two years from the date of submission, or until you request deletion, whichever is sooner. After the retention period, messages are permanently deleted from the database.

Waitlist entries are retained until the relevant programs launch and founding members have been contacted, or until you request deletion. After the programs are live, we will retain entries only as long as reasonably necessary for record-keeping.

Newsletter subscriber emails are retained until you unsubscribe or request deletion. Unsubscribing removes your address from future communications promptly.

7. Your rights

Regardless of where you are based, you can make any of the following requests at any time:

Access

Request a copy of the personal data we hold about you.

Correction

Ask us to correct any inaccurate data we hold.

Deletion

Ask us to delete your data. We will action this promptly unless we are required by law to retain it.

Objection

Object to a particular use of your data.

Portability

Request your data in a structured, commonly used, machine-readable format.

Withdrawal of consent

Where processing is based on consent, withdraw it at any time. This does not affect any processing that occurred before withdrawal.
